Position Overview:
- The Procurement and Tender Analyst is responsible for managing and coordinating procurement activities, including the preparation, evaluation, and monitoring of tenders, contracts, and supplier agreements. The role involves working closely with suppliers, internal departments, and stakeholders to ensure that the procurement process is efficient, transparent, and in compliance with organizational policies and relevant regulations.
Key Responsibilities:
Tender Management:
- Ensure timely and profitable bidding for both public goods and services and tendering in the Mining and related sectors
- Proactively maintain awareness of relevant organizations to ensure timely identification and application for pertinent tenders.
- Analyze bids and proposals, ensuring compliance with organizational and legal requirements.
- Conduct market research to identify potential suppliers and assess their capabilities.
- Coordinate and manage tender evaluation processes, including financial and technical assessments.
Supplier Management:
- Develop and maintain strong relationships with key suppliers, negotiating terms and conditions to ensure cost-effective procurement.
- Monitor supplier performance, ensuring compliance with contractual obligations, quality standards, and delivery timelines.
- Conduct supplier assessments and audits as required.
Procurement Strategy:
- Assist in developing procurement strategies aligned with organizational objectives.
- Identify cost-saving opportunities and recommend procurement process improvements.
- Ensure that procurement activities comply with industry standards, regulations, and ethical practices.
Contract Management:
- Prepare, review, and manage contracts with suppliers, ensuring terms and conditions are favorable to the organization.
- Monitor contract renewals, expirations, and amendments.
- Resolve any contractual disputes or issues with suppliers.
Data Analysis & Reporting:
- Analyze procurement data to track spending, savings, and supplier performance.
- Generate regular reports on procurement activities, supplier performance, and cost savings.
- Provide insights and recommendations based on data analysis to support decision-making.
Compliance & Risk Management:
- Ensure procurement practices comply with internal policies and external legal requirements.
- Identify and mitigate risks associated with the procurement process.
- Monitor changes in industry regulations and update procurement practices accordingly.
Cross-functional Collaboration:
- Work closely with internal departments, including finance, legal, and operations, to ensure alignment of procurement activities with overall business goals.
- Provide guidance and support to colleagues on procurement processes and procedures.
Skills and Qualifications:
- Bachelor’s degree or Diploma in Procurement, Supply Chain Management, Business Administration, or a related field.
- Proven experience in procurement, tender management, and supplier relationship management.
- Strong experience in Electronic Government Procurement (EGP) system and tendering process in the Mining sector
- Strong negotiation, analytical, and communication skills.
- Knowledge of procurement best practices, regulations, and industry standards.
- Proficiency in procurement software and tools.
- Ability to work under pressure, manage multiple tasks, and meet deadlines.
- Strong attention to detail and problem-solving abilities.
