Operations Manager – Sales & Distribution

Purpose of the Position:

To achieve 100% customer delivery performance in all channels in terms of fulfillment, service, and quality. To work toward doubling volume throughput over the next 5 years. To manage divisional unit costs by controlling stock, and costs and working with the team to increase volume throughput including from 3rd party suppliers. To drive development and improvement of all related infrastructure.

Responsibilities:

Customer Service Deliver and Quality

  • Deliver 100% of product to defined quality standards on time into each sales channel.
  • Work with QA team to continuously improve quality standards across all aspects of the operation.

Product Availability Planning

  • Preparation of annual, monthly, and weekly demand-supply forecasts in conjunction with Growers and Sales departments and use this to plan facilities capacity to effectively manage volume and delivery performance.
  • Place product orders with farms for weekly and longer term supply requirements.
  • Plan schedules with transport department and growers to ensure delivery schedule is met 100% to plan.
  • Planning of ripening cycles to ensure 100% daily demand is met in the quantities, product and quality specifications as required by sales for all channels.

Distribution

  • Sourcing and scheduling of distribution trucks of the correct configuration to achieve optimal truck utilization and per/kg distribution costs.
  • Ensuring 100% truck availability at defined standards.
  • Managing delivery truck livery, condition, quality standards.
  • Negotiates rates with third party transporters to achieve budgeted cost per kg.
  • Ensuring 100% delivery compliance to all retail and van sales customers per orders of sales team.
  • Developing route profitability break even model in liaison with the sales manager and managing route profitability.
  • Managing own vehicles in partnership with the Transport division to optimise all aspects of truck performance.

Packaging – Crates and Bins

  • Schedule packaging logistics to ensure zero stock outs on farms and to ensure 100% fulfilment of weekly delivery plans.
  • Ensure zero packaging stock loss through full van sales, retail and depot channels.
  • Long term planning of packaging to match requirements of forecast production and sales volumes.
  • Managing condition of packaging, planned replacement and maintenance.
  • Managing relationship with CHEP to compliment own packaging seasonal requirements.

Facilities and Cold Store Management

  • Plan and implement primary infrastructure changes to ripening and cold store facilities requirements to service forecast production and sales volumes.
  • Setting of cold storage standards in liaison with QA personnel for all produce.
  • Maintaining 100% cold store serviceability and availability.
  • Researching on best practice in cold store facilities, systems and recommending to senior management for decision-making.
  • Timeously sourcing of extra cold store space for storage if required at competitive prices.
  • Optimise cold room utilisation to ensure maximum use of available infrastructure as well as capacity to manage all volume demands.
  • Manage waste levels to minimum and continuously introduce methods to reduce waste.

Ripening

  • Ensuring 100% performance to all ripening KPI’s
  • Refining, improving, overseeing all systems to deliver 100% ripening performance.
  • Managing ripening control systems, and automation.

Systems & Control

  • Development, enforcement and reviewing all control systems to achieve zero stock losses.
  • Full accountability for product stock control.
  • Tracks detailed throughput to ensure that sales are accurately tracked to relevant delivery notes for accurate computation of grower pricing.
  • Ensure all relevant SIC’s and SOP’s are in place for operational and financial processes, that these are maintained and are applied with discipline.
  • Drive automation of SIC’s and all operational and financial data collection.
  • Ensure successful implementation, maintenance and planning of all IT systems supporting the operation.

Facilities

  • Ensure excellence in facilities hygiene, serviceability and maintenance.
  • Maintaining all depot facilities, buildings, livery equipment in good working order and conditions and presentation excellence.
  • Preparation and execution of preventative maintenance plans and budgets.

Reporting

    • Works with stats team to ensure robust and efficient data collection for all relevant metrics.
    • Drive analysis of such data to improve performance against standards and targets.

Security

    • Managing security of depot assets and people by putting in place security controls and systems including managing contracts with service providers, ensuring all access controls are in place and effective, and keeping camera systems in effective working order across all facilities.
    • Personally counter-checking security controls compliance and effectiveness at random intervals.
    • Ensuring that depots comply with all statutory requirements and that licenses and other required provisions are up to date.

Human Resources

    • Ensure 100% right person in the right position for your team.
    • Defines standards and agrees targets with the team for continuous improvement.
    • Responsible for providing good supervision; motivation, training, and upkeep of discipline and good conduct by all employees under his/her charge.
    • Constantly drives the team to maximize staff productivity and achievement of company goals and targets.
    • Ensuring that key communication is done, including but not limited to monthly reviews and communication of the month’s targets.
    • Recruit correct people for his/her department together with HR.
    • Managing and measuring performance according to our performance management systems.

 

Key Requirements:

  • Strong degree in any one of management, marketing, or logistics.
  • 5 years’ experience in FMCG distribution.
  • Character: passionate, intelligent, team player with integrity.
